Our travel experts will guide you through the entire booking process, from the initial quotation to the final Travel voucher. That is the beauty of dealing with a person rather than a machine!
We will require a signed booking form, which will accompany our full terms and conditions. This will be our legal contract with you and protect all parties. The basics of this process are laid out below.
Your peace of mind:
We know that booking through a website, when you may be a continent away can be a bit nail biting, so we’d like you set your mind at ease.
We are an ASATA-accredited agent. We have been a member since 2007 and, as such, must adhere to a strict Code of Conduct and Constitution. Please visit the Asata website for full details: https://www.asata.co.za/
In addition to the above, please review us online – you will find us mentioned on many independent sites as well as our own – TripAdvisor, Facebook, Google etc.
Bookings:
Please note that bookings remain provisional and subject to amendment/cancellation until full and final payment has been received.
Payment:
Unless otherwise specified, a deposit of 50% of the total land tour price per person is payable within seven days from the invoice.
You will only receive this invoice once we (Flame of Africa and the client) have agreed on a travel itinerary, the quotation has been accepted, and all the bookings are in place.
Airline tickets are the exception to this as they are booked and paid for on the same day. For this reason, pre-payment is required based on an estimate of the then-available fare. Any difference in fare at the time of issue will be for the client’s account.
The balance of the total tour price due is payable no later than 60 days prior to departure unless otherwise specified or pre-arranged with Flame of Africa.
Full payment is due within seven days from the invoice if the booking is received within 60 days prior to departure.
Provisional bookings will automatically be cancelled if Flame of Africa has not received the deposit or full payment, as applicable.
The above terms remain subject to any special payment policies that principal providers may have. If applicable, clients will be informed of this, in writing and in advance.
Exchange rate, park fees, taxes, and government levies
Until full and final payment is received, Flame of Africa reserve the right to amend rates based on currency fluctuations and/or increases imposed on us by the principals/suppliers. Should there be an increase in the rate of exchange, the client will be informed in writing and the client will be liable for the surcharge.
Park fees, taxes and levies are subject to change according to government legislation. In the unlikely event, that there is an increase in these fees during or after the booking process, the surcharge will be for the client’s account. Clients will be informed of this in writing.
Cancellation and/or amendments:
All cancellations must be made in writing by the client. Flame of Africa will not regard a booking as cancelled until written notice is received.
Refunds for cancelled air tickets will be as per the airline’s rulings.
All other cancellations will be based on the date that written notice was received by Flame of Africa and calculated according to the days left over, prior to the intended date of departure.
61+ days prior to departure 25% of tour cost.
60 – 36 days prior to departure 50% of tour cost.
35 days prior to departure 100% of tour cost.
PLEASE NOTE All refunds remain strictly subject to suppliers/principals’ cancellation policies.
Any cancellations and/or amendments made by the client will affect the total per person tour price. For example, if two people were traveling together and one cancels, a single supplement will be charged.
Flame of Africa reserves the right to re-cost the fare and raise a surcharge.
Travel Insurance:
Flame of Africa Travel considers adequate travel insurance to be essential. Cancellation, medical, repatriation insurance, lost baggage, and any other cover the customer deems fit is highly recommended for all Flame of Africa bookings. Travel insurance is widely available to purchase. It is the responsibility of the client to ensure that they purchase adequate travel insurance cover.
Entry Requirements:
Flame of Africa does not offer a medical or visa service. Our travel experts will provide contact details to the relevant local authorities but the responsibility to obtain valid passports, visas, health/medical and vaccination requirements is that of the client alone. Please ensure that your passport is valid for at least six months beyond the end of the travel period.
